Virtual assistant business cheat sheet

The VA course's outreach scripts, retainer ladder, contract terms, and money habits on one page for the working assistant who needs the number, not the lesson.

The method behind this sheet is taught once, in the spine — the full application lives in the Virtual assistant business cheat sheet course.

First customers in virtual assistant

Warm network first, because a retained admin service is a trust business. List sixty names, expect about forty usable, and write one specific sentence per row about what that operation bleeds time on. The message asks for an introduction, not a sale:

Hi Dana. We worked together at Meridian, you probably remember me as the one who kept the vendor renewals from imploding. I run the back office for a small number of home-service companies: inbox, scheduling, billing chases, the weekly report. If you know an owner drowning in that stuff, I'd love an introduction.

Send ten a week. Bump once after five business days, once more after two weeks, then stop. From a good list of forty, ten replies and three to five conversations is a healthy outcome. Second channel: the rooms your niche gathers in. Answer questions for two months before mentioning what you sell, and take the coffees. Platforms are an on-ramp: Upwork's fee runs zero to fifteen percent, Fiverr takes a flat twenty, and the median VA rate on Upwork sits near thirteen dollars. Buy your first three reviews, then graduate. Every conversation funnels to a twenty-minute discovery call and a two-week paid pilot with one written success signal. No free pilots. That is the first-customers method run warm instead of cold.

Pricing in virtual assistant

The pricing method here is the retainer ladder. Rung one, hourly for pilots: twenty-five to sixty dollars an hour for a US generalist, with experienced generalists averaging thirty-five to fifty. Rung two, a prepaid block of ten to twenty hours a month at about a ten percent discount; never sell blocks under roughly ten hours, since small retainers carry the overhead of large ones. Rung three, the flat capacity package: the course's worked example turns a thirty-dollar base into a nine-hundred-fifty-dollar monthly package covering about thirty hours. Solo VAs selling direct land several hundred to two thousand-plus a month per client; a niche agency charged four hundred to a thousand for shared coverage and sixteen hundred to twenty-five hundred for a dedicated assistant.

Under every rung sits the floor rate: your true monthly target, benefits and tax sweep included, divided by eighty to one hundred ten billable hours; a mature solo VA bills only 60 to 75 percent of working hours. Publish nothing you cannot defend in one sentence.

Rules in virtual assistant

Start as a sole proprietor with a free EIN and a separate business account; the LLC filing, thirty-five to five hundred dollars by state, waits until income is real. General admin VA work has no license. The written agreement carries eight clauses, and the load-bearing ones are prepaid monthly retainers due on the first, a stated response window, month-to-month terms with thirty days notice, and same-day access revocation at offboarding. Hold the money boundary: support billing, never hold client funds or sign anything financial. Self-employment tax is 15.3 percent on net earnings (official IRS figure), filing starts at four hundred dollars net, quarterly estimates at a thousand owed. The 1099-NEC threshold is six hundred dollars, rising to two thousand for 2026 payments. The setup framework covers the state-by-state parts.

Money in virtual assistant

Prepaid is the whole system: retainers bill on the first, work starts when payment lands, and unused hours expire. When an invoice slips: reminder at day three, personal note at day ten, work pauses at day fifteen. Sweep a quarter to a third of every payment into the tax account the day it lands. Software runs thirty to sixty dollars a month. One planning number: a solo VA needs roughly one and a half times the old hourly wage to match an old paycheck. This is the money system with prepayment doing the enforcement.

First hire in virtual assistant

The long game names the team fork: subcontract other VAs and sell capacity, margin between what clients pay and what your people cost. Practice depth, four to eight retainers, is the default and a legitimate destination. The decision layer underneath is the first-hire decision.

Everything here compresses the full course, which walks the ladder, the pilot, and the weekly report lesson by lesson.
